Booking and Retainer
Your date and time are not officially reserved until your retainer has been paid and your contract has been signed. Retainers are non-refundable and are applied toward your session balance.
By booking your session, you are agreeing to these policies and the terms outlined in your client contract.

Payment
The remaining balance is due 48 hours before your scheduled session. Sessions that have not been paid in full by this deadline may be subject to cancellation.
All payments are subject to applicable taxes.

Rescheduling
Life happens, and I understand that sometimes plans need to change. If you need to reschedule, please provide as much notice as possible.
Rescheduling requests made with sufficient notice may be transferred to a new available date. Your retainer will remain applied to the rescheduled session.
Repeated rescheduling or last-minute changes may require a new retainer.

Cancellations
Retainers are non-refundable. If you choose to cancel your session, your retainer will not be returned.
If I need to cancel or am unable to photograph your session, you will be given the option to transfer your retainer to a new date or receive a refund, as applicable.

Late Arrivals
Please arrive on time and ready for your scheduled session. Your session time begins at the time you booked, not when you arrive.
A $50 late fee will apply to arrivals more than 15 minutes late. Significant delays may result in a shortened session or cancellation, depending on availability.
I encourage you to plan for traffic, parking, and getting everyone ready before your scheduled start time.

Weather
For outdoor sessions, weather is always something we have to work with. If conditions are unsafe or would significantly affect the quality of your session, I will work with you to reschedule.
Weather-related rescheduling will be handled on a case-by-case basis, with the goal of protecting both your experience and your final images.

Location and Travel
Clients may choose from my available locations, or we can discuss a location that fits your vision.
Travel outside my included service area is available at $0.80 per mile. Out-of-state sessions are available by request and will receive custom travel pricing.
Location permits, entrance fees, or other location-specific costs are the responsibility of the client unless otherwise agreed upon.

Outfits and locations
Unless otherwise stated in your package, outfit changes and location changes are limited according to your selected experience.
I’m always happy to help with outfit inspiration and general session guidance. Styling and setup services are also available for an additional fee.

Gallery Delivery
Your final gallery will be delivered within two weeks of your session, unless otherwise discussed.
Rush delivery is available for $50, which includes delivery of your complete gallery within 72 hours and replaces the standard sneak peek timeline.
Please download and safely store your images once your gallery has been delivered. Galleries are not guaranteed to remain online indefinitely.

Image selection
Your package includes the number of professionally edited digital images listed in your chosen experience.
Additional images may be purchased individually for $10 each, 10 additional images for $60, or you may upgrade to your full gallery for $100.
All final images are selected and professionally edited by KaiaTaye Photography. RAW or unedited files are not provided.

Client Responsibilites
Please arrive prepared, communicate any important needs or concerns before your session, and ensure that everyone attending is aware of the session expectations.
For family sessions, please allow extra time for children to settle in. Sessions are not expected to be perfectly posed — genuine moments, movement, and connection are all part of the experience.

Copyright and Image Use
KaiaTaye Photography retains the copyright to all images created during your session.
Images may be used by KaiaTaye Photography for portfolio, website, social media, advertising, and other promotional purposes unless you request otherwise in writing.
Clients receive personal-use rights to their purchased images. Images may not be altered, filtered, or commercially used without written permission.

Custom sessions
Not seeing exactly what you're looking for? Your session doesn't have to fit into a box.
Custom experiences, specialty sessions, styling, in-home studio setups, travel, and other requests are available upon inquiry. Send me a message and we can create something specifically for you.

Location and Fees
f your chosen location requires a photography permit, reservation fee, entrance fee, or other photography-related fee, those costs are the responsibility of the client. I will let you know of any known required fees before your session is booked.

These policies are here to create clarity, not to take away from the experience. My goal is for you to feel comfortable, cared for, and confident from the moment you inquire to the moment you receive your gallery.
